SURROGACY PAGES

When a user has successfully associated a Type 2 NPI and gained access to the EIN as an surrogate working on the provider organization behalf, an indictor must be sent so that the NPPES to I&A service can make an approved surrogacy connection in I&A between the user’s employer organization and the provider organization for the NPPES Business Function, ensuring the user has access to the NPI via the surrogacy connection.
  • Upon clicking the Access Type 2 NPI(s) button the user is navigated

Access Type 2 NPI(s) Button

Upon clicking the Access Type 2 NPI(s) button, the user is navigated to popup window indicating ?Select your relationship with the Provider’ with two radio buttons
  • As an Employee
  • As Surrogate

As an employee of the Provider

To access the Type 2 NPI(s) as an employee of the provider, select the As an Employee radio button, then select OK.

Once you have successfully accessed the NPI(s) associated with your Provider you will be granted NPPES access to the organization in I&A. This will give you access to all NPIs associated with the organizational provider in NPPES. The Provider will display in the grid on your Main page.

As a surrogate working on behalf of the provider

To access the Type 2 NPI(s) as a surrogate working on behalf of the provider, select the As a Surrogate radio button, then select OK. A dropdown list of all your employers will display. Select the employer that is the Surrogate Organization.

Once you have successfully accessed the NPI(s) associated with the Provider, a connection will be made between your employer organization and the provider for the NPPES business function, if one does not already exist. You will also be granted NPPES access to the provider via the surrogacy connection in I&A. This will give you access to all NPIs associated with the provider in NPPES. The Provider will display in the grid on your Main page.

Accessing Type 2 EIN page

If your organization has multiple NPIs, you can gain access to your organization by correctly entering all your organization’s NPIs and their associated NPPES 2.9 Type 2 User IDs. You will have two chances to correctly enter the NPI(s) User ID(s) and Password(s) associated with your Provider’s Organizational NPI(s).

Start by entering the EIN (Employer Identification Number) associated with your Provider Organization, and select the Submit button.

Submit Button

After entering the EIN of your Provider Organization, select the Submit button. The page will redisplay with the appropriate number of entries (NPIs, User IDs, and Password combinations) that need to be entered to successfully associate the Type 2 NPIs and gain access to the Provider in NPPES.

Once you have entered the NPIs, User IDs and Passwords associated with your Provider, select the Submit button.

If any of the information entered is incorrect, the incorrect data will be identified and you will have another chance to correctly enter all required information.

If you correctly enter all of the NPIs, User IDs, and Passwords, you will see a pop up confirmation page. Once you return to your Main page, you will see the Provider in your Provider grid.

Cancel and Return button

Select the Cancel and Return button, if you decide you do not wish to Access a Type 2 NPI. You will be returned to your Main page.

Show Password Checkbox

The Show Password checkbox will allow you to view or hide the passwords on the page. When this check box is checked, the password(s) will be visible, when unchecked the passwords will be masked so that they are not viewable.

Exceeded Maximum allowed attempts page

If you attempt to gain access to an organizational Provider by associating the Type 2 NPIs and fail, you will not be allowed a second chance to access the Type 2 NPIs. Instead you must gain access to the Provider in I&A.

Attempting to Log into NPPES with a Type 2 User ID

The User ID and Password associated with a Type 2 NPI can no longer be used to access NPPES. You must use an Identity & Access (I&A) User ID and Password to access NPPES. Once you create an account in I&A, you have the option of either: a. Adding your employer organization to your profile in I&A on the My Profile tab. Your employer relationship must be approved before you can gain access to the Provider b. Accessing the Type 2 NPIs in NPPES If your Provider Organization has more than 5 NPIs with User IDs and Passwords, you will not be able to associate the Type 2 NPIs to gain access to the Provider. Instead you must gain NPPES access to the Provider via I&A. Once you successfully accessed the Type 2 NPIs associated with the Provider, a relationship with the provider will be established for you in I&A that will grant you NPPES access to the Provider.

An AO and/or DO Exists in I&A for the Provider

The system has recognized that you attempted to log into NPPES 3.0 with a Type 2 NPI User ID, and has identify the Authorized Officials (AOs) and Delegated Officials (DOs) associated the Type 2 Provider organization (based on EIN). The system has outlined the steps you need to take to gain NPPES access to your Provider via the Identity and Access (I&A) system.

Authorized Official and Delegated Official Grid

The Authorized Official and Delegated Official grid provided here can help you gain access to NPPES for your organization. The following columns are provided in the grid
  • Role
  • Name
  • Email Address

Create I&A Account Button

Select the Create I&A Account button is provided to create I&A account if you do not have one.

Log into NPPES Button

Select the Log into NPPES button if you already have an I&A account, to be navigated to the NPPES Sign In page where you can log into NPPES with your I&A User ID and Password.

No AO or DO Exists in I&A for the Provider and the Provider multiple NPIs with

User IDs

The system has recognized that you attempted to log into NPPES 3.0 with a Type 2 NPI User ID, and has determine that you do not have the ability to Access the Type 2 NPIs to gain access to the Provider due to the following:
  • The Provider organization does not have an Authorized Official (AO) or a Delegated Official (DO) in I&A
  • The Provider organization has more than five Active NPIs with a User ID

Therefore, you must gain NPPES access to the Provider in the Identity and Access (I&A) system either through an employer relationship or a surrogacy relationship with the Provider. To gain access via an employer relationship, follow the steps outlined below.

To Gain Access to Your Organizations in NPPES

Since your organization has multiple NPIs, follow the steps below to gain access to your organizations in NPPES.
  • Create an I&A Account
  • Add your organization as an employer and request to be a Staff End User
  • Contact the Enumerator to approve Staff End User request
  • Return to the NPPES Sign In page and use the credentials to login.

Select the Create I&A Account button will navigate you to I&A where you can create I&A account.

Log into NPPES Button

Select the Log into NPPES button if you already have an I&A account, to be navigated to the NPPES Sign In page where you can log into NPPES with your I&A User ID and Password.

No AO or DO Exists in I&A for the Provider and the Provider 5 or less NPIs with a User ID

The system has recognized that you have attempted to log into NPPES 3.0 with a Type 2 NPI User ID, and has determine that you can gain access to your Provider by either Accessing the Type 2 NPIs associated with the Provider in NPPES, or you can gain NPPES access to the Provider via the Identity and Access (I&A) system either through an employer relationship or a surrogacy relationship with the Provider.

You must first create an I&A account.

Once you have an I&A account you can either create an employer relationship with the provider via your My Profile tab or you can return to NPPES and log in with your I&A User ID and Password and Access the Type 2 NPI(s) associated with your Provider.

To access the Type2 NPIs you must correctly enter your Organization’s EIN, NPIs, and the User IDs and Passwords associated with each NPI.

Create I&A Account Button

Select the Create I&A Account button will navigate you to I&A where you can create I&A account.

Log into NPPES Button

Select the Log into NPPES button if you already have an I&A account, to be navigated to the NPPES Sign In page where you can log into NPPES with your I&A User ID and Password.
